Room Rentals

Meeting Room Rentals

  • The time that you require to set up and clean up your own materials (catering, decorations, AV equipment, etc) must be included in the rental period.
  • 6' x 2' tables and chairs are set up in advance by our staff according to a pre-arranged floor plan approved by our Scheduling & Events Director.
  • You are permitted to bring in outside catering, excluding alcohol. There is no access to a stove, fridge, freezer, microwave or any other kitchen appliances. Please see below regarding alcohol service .
  • CHP does not provide table linens or any decorations for the event. We do not allow anything to be hung on the walls of the event space. Table and floor standing items are permitted.
  • Re:SOUND and SOCAN tariffs are applied to applicable events.

Please note that CHP closes at 5:00pm on Saturday from July - August, and 8:00pm the rest of the year. Room rentals are only permitted to run after business hours when CHP bartenders are hired.

Serving of Alcohol

If you are planning to serve alcohol at your event:

  • The event must have a minimum of 60 people in attendance for bar service.
  • We require at minimum, 2 weeks' notice to confirm staff.
  • The bar is staffed by CHP bartenders. The cost to hire CHP smart-serve certified bartenders is $60 per hour for 2 bartenders with a 3-hour minimum ($180). You will need to apply for the appropriate alcohol service permit and supply all of the alcohol and resources required, except for the portable bar, and the float. Any profit from a cash bar is yours, but the bartenders are entitled to their tips. Please include 1 hour before bar service for bar setup, and 1 hour after bar service for clean up. The setup time and clean-up time may need to be modified depending on the scale of the event.
  • The event must be booked in the Multi-purpose Room, or a portion of it.
  • Last call must happen by midnight, with everyone finishing their beverage by 12:30 am. All guests, wedding party, and outside event suppliers must exit the space by 1:00 am.
  • Events with alcohol being served must provide proof of event insurance with general liability of up to $5,000,000.
  • You must hire one security guard from an outside certified security company for the duration of the event (from the time the bar opens until all of the patrons have left Cole Harbour Place).
